1. Who this policy covers
This policy applies to the Your Next Chapter website, assessment, account, Personal Direction Dossier and guided AI career exploration operated by ProfessionalOS (“we”, “us” or “our”).
2. Information we collect
Depending on how you use the service, we may collect:
- your name, email address and account identifiers;
- your choice about optional product reminders and updates;
- your assessment answers, career history, preferences, reflections and optional free-text responses;
- AI-generated analyses, pathways, research and action plans created at your request;
- purchase, entitlement and transaction metadata. We do not receive or store your full payment-card details;
- technical and usage information such as browser type, device information, pages used, errors and approximate location derived from an IP address; and
- messages you send us and records needed to respond to support, privacy or legal requests.
3. Sensitive and highly personal answers
The service does not require a medical diagnosis or clinical history. However, a free-text answer may reveal health, workplace, family or other sensitive information. Please share only what you are comfortable using for this career decision-support process. If you voluntarily provide sensitive information, you consent to us processing it to save your assessment and generate the results you request.
4. Why we use your information
We use personal information to:
- create and secure your account, save progress and restore your work across devices;
- provide the assessment, dossier, AI exploration and other features you request;
- process payments, confirm entitlements and prevent fraud or misuse;
- operate, secure, troubleshoot and improve the service;
- respond to questions, complaints and requests; and
- send product reminders or updates only where you have chosen to receive them;
- meet legal, accounting and regulatory obligations.
We do not sell your assessment answers. We do not make them public or disclose them to other customers.
5. Service providers and AI processing
We use specialist providers to host the website and database, authenticate accounts, process payments, deliver email, protect the service and generate AI results. They receive only the information reasonably needed to perform those functions and handle it under their own security and privacy obligations.
When you request an AI stage, relevant assessment evidence and prior results are sent to our configured AI provider to generate that output. Automated outputs may be incomplete or inaccurate and should be treated as decision support, not a diagnosis or professional instruction.
6. Coach-sponsored journeys and sharing
A coach may pay for or invite you to a journey. That does not give the coach automatic access to your assessment answers. The coach may see invitation and broad progress status, such as whether you have accepted, started or completed the journey.
After reviewing your dossier, you may choose to share a purpose-built Coach Brief containing selected patterns, work-style reflections, constraints, energy signals, tensions and suggested coaching questions. The Coach Brief does not include your raw response archive. Sharing is voluntary, is recorded against the coach relationship and can be revoked. We may retain limited access records for security, dispute handling and legal obligations.
If a coach provides your email address to invite you, we use it to deliver and administer that invitation, connect your accepted journey to the coach relationship and send essential service messages. We do not use a coach-provided client email for unrelated marketing. The coach is responsible for having an appropriate basis to provide it to us.
7. Overseas processing
Some providers may process or store information outside Australia. The countries involved can change as provider infrastructure changes. We take reasonable steps to use reputable providers and appropriate contractual or technical safeguards, but overseas recipients may be subject to different privacy laws.
8. Storage, security and retention
We use access controls, encrypted connections and account-level permissions designed to protect your information. No internet service can guarantee absolute security. We keep information while your account is active and for as long as reasonably needed to provide the service, resolve disputes, prevent fraud and meet legal obligations. Before you create an account, Chapter 1 progress is saved in your browser. After account creation, assessment answers and generated results are saved to your account and removed from browser storage. Your name, email address and any optional update preference may be retained separately so we can administer the service and honour your stated communication choice.
9. Your choices and rights
You can review and update key account information, download available records and request deletion of your assessment. You may also ask to access or correct personal information we hold, or make a privacy complaint. We may retain limited records where the law requires it or where reasonably necessary for security, fraud prevention or legal claims.
10. Cookies and local storage
We use essential cookies for sign-in and security, and browser storage for Chapter 1 autosave before account creation, restoration and preferences. After you create an account, assessment answers and generated results are saved to your account and removed from browser storage. Our first-party, cookie-free product analytics record only an event name, app route, page path, referring domain and campaign tags. We do not assign an analytics visitor ID, and we do not send names, email addresses, assessment answers, free-text responses or generated results to analytics. Analytics are disabled when your browser sends Do Not Track or Global Privacy Control.
11. Children
The service is intended for adults making career decisions and is not directed to children under 18.
12. Changes and complaints
We may update this policy as the service evolves. The effective date above shows the latest version. Contact us first if you have a concern so we can investigate. You may also be able to complain to the Office of the Australian Information Commissioner.
